Google Drive Clean Out
Our district goal is to clean out all Google Drives to 15GB this school year. We will be providing monthly tasks to assist with these goals and ensure that all Google Drive storage is at the appropriate limits.

1. Open Google Drive
2. Click Storage on the left sidebar
3. Look at your stats
4. Locate the arrow on the right to sort items by size

February Goals
It’s Review month! Let’s review our clean out steps and keep cleaning out that Google Drive!
- Check your Google Drive Storage for less than 15 GB of files
- Remove all Personal files
- Remove all Untitled files
- Clean out files by ‘Last Modified’ and ‘Reverse Date’
- Check ownership of your files, make sure you own what you need
- Delete ‘Copy of’ files that are not needed
- Transfer video and images to OneDrive
- Clean out files by size
- Transfer PDFs to OneDrive
- Delete all Gmail
January Goals
- Clean out Gmail
- Start by deleting all email from Inbox & Sent folders.
- Next, delete all Gmail Labels using the 3 dots and REMOVE LABEL.
- Finally, delete Trash & ALL MAIL.
- Transfer PDFs to OneDrive
- Option 1
- Move all PDFs to one folder in Gmail.
- Download this folder and Upload to OneDrive.
- Option 2
- IF you have Google Drive and OneDrive for Desktop installed, open a window of each drive and drag & drop PDFs from Google Drive to OneDrive.

December Goals
- Clean out your files By Size
- Clean out the largest files if you no longer use them by moving them to the Trash.
- If there are personal files, move them to a personal Google Drive or external storage.
- This is also a great time to RENAME & organize for ease of use.
- Transfer Images and Videos to OneDrive

This option has to have Google Drive and OneDrive cloud storage enabled devices.

November Goals
- Check the Ownership of your Files
- Do you really need the Copy of this file? If not, Move to trash.
- Would you need this file for your job if the owner no longer worked in Keller ISD? Make a Copy of, rename and file appropriately.
- Delete Copy of Files that are no longer needed
- Search 'Copy of' in the Google Drive search bar and delete OR name and move files appropriately.
- Search 'Copy of' in the Google Drive search bar and delete OR name and move files appropriately.
- Clean out your files by Last Modified and Reverse Date
- CLEAN OUT what you no longer need by starting with your oldest files. Move unneeded files to the trash.
- While in Drive, switch to List View, then sort by Last Modified, finally click the arrow to see your oldest files on top.
October Goals
- Remove ALL unused UNTITLED files
- Search 'Untitled' in the Google Drive search bar and delete OR name and move files appropriately.
- Search 'Untitled' in the Google Drive search bar and delete OR name and move files appropriately.
- Remove ALL Personal files
- We recommend using Google Takeout to move all personal files to a personal Google account.
- Additionally, save personal files to an external drive/flash drive, a personal device or other cloud storage.
